Job Description
Title: DIRECTOR OF STUDIES

Reports to: Operations Director

Pay: £35,000 per year plus bonuses up to 35% of basic salary depending on candidate achieving targets set concerning customer satisfaction, cost optimization and meeting other goals set.

Summary of Position: Academic manager in overall charge of academic staff, the curriculum and its delivery.

Duties and responsibilities:

RECRUITMENT
• Recruitment Advertising including planning, budgeting and creating
• Recruitment of up to 20 Course Directors and up to 300 teachers inc application scanning, referencing & interviewing
• Issuing of contracts
• Updating social networking sites with relevant information for teaching staff to encourage returners
• Ensuring all applicable paperwork is received and stored for all academic staff

ENSURING SMOOTH DELIVERY OF EFL PRODUCT
• Daily liaison with Course Directors to ensure all procedures are adhered to
• Dealing with issues immediately by phone and then in person if required
• In overall charge of disciplinary procedures for academic staff
• Visiting centres as and when required to oversee academic department.
• Ensuring Course Directors read and note comments and feedback from students & group leaders at the centre
• Collecting all data for Trinity candidates from on-site staff.
• Uploading Trinity date and entering candidates
• Ensuring staff at local level are prepped in advance to ensure the smooth running of the Trinity examinations
• Reviewing all procedures and policies each year to improve wherever necessary each year

PAPERWORK / DATA ORGANISATION
• Contracts / Terms & Conditions / Job Descriptions - creating and updating
• CD manuals / Teachers manuals / Policy Handbook etc – creating and updating
• Ensuring all academic staff have received job descriptions, T&Cs, policy handbook & employee manuals and sign to agree to these.
• Ensuring all files on teaching staff are kept up to date
• Organising files & data for the tuition department
• Updating and maintaining teacher information for the centre plans
• Ensuring correct information is distributed to Course Directors in advance
• Writing references for previously employed academic staff as and when required by potential employers
• Ensuring all information at the end of the summer is uploaded to the spreadsheets for future reference requests and employment queries
• Collating and noting all feedback forms received from teachers and Course Directors

SALARIES & LOGISTICS
• Organising the salary claim system for academic staff
• Authorising salaries and expense claims
• Ensuring all tax forms and bank details are received and correctly filled out
• Ensuring stationary supplies and supplementary material is allocated to centres

TRAINING & DEVELOPMENT
• Staying abreast of current developments in TEFL & relevant regulations and best practice changes
• Planning training programs for teachers across 8 weeks.
• Planning and holding Course Director Induction Day

ACCREDITATION
• Preparing paperwork regarding academic section for accreditation bodies.
• Attending inspections for accreditation.
• Attending relevant seminars and conferences
• Attending meetings of professional and accreditation bodies.
